For maintenance activities, the calendar is no longer enough

True progress means intervening when it is actually needed.

For many years, maintenance of systems followed the simple logic of the calendar: an inspection every six months, a scheduled replacement every year, a periodic check regardless of how the system had actually been used.

For a long time, this approach did provide a certain level of reliability and, even today, it remains essential for many mandatory inspections required by regulations.

However, the context has changed. Buildings have become more complex, systems more advanced, and the need for operational continuity increasingly critical. At the same time, companies are expected to optimise time, costs and resources, avoiding both unnecessary interventions and unplanned downtime.

In this context, maintenance based exclusively on the calendar is no longer sufficient.

To give a practical example, consider two devices installed on the same day. The first is located in a production area operating 24/7, while the second illuminates a technical room that is only used occasionally. Both follow the same maintenance plan, but they operate under completely different conditions.

Or imagine a commercial building that, over the years, has changed its opening hours, expanded certain areas and reduced the use of others. Even in this case, systems are often still managed as if nothing had changed.

Treating such different situations in the same way means overlooking valuable information.

Thanks to monitoring systems, it is possible to know the condition of systems in real time, identify anomalies, detect unusual behaviour and analyse the performance of individual components. This makes it possible to schedule interventions when there are actual signs that they are needed, avoiding both premature maintenance and failures that could compromise operations.

The benefits, however, go beyond cost reduction. Data-driven maintenance also improves activity planning, makes technicians' work more efficient, reduces service interruptions and helps extend the useful life of systems.

Moreover, this is a change that affects every sector: in manufacturing facilities, it means limiting machine downtime and ensuring process continuity; in commercial buildings, it means providing consistently efficient and comfortable environments without disrupting the customer experience; in public infrastructure, it allows available resources to be used more rationally and interventions to be prioritised according to actual needs.

Of course, data does not replace people's experience. The expertise of technicians, their knowledge of the systems and the inspections required by regulations remain essential. Data, however, adds something new: the ability to make decisions based on objective, continuously updated information, ultimately allowing us to intervene at the right time, in the right place and for the right reason.
